Privacy notice

This notice explains how we use information from this website and initial enquiries. If you become a client or tenant, we will explain any additional processing relevant to that relationship.

Who is responsible

Golden Key Property Management Ltd is the controller. Our company number is 16024732 and our registered office is 11 Climsland House, Duchy Street, London, SE1 8AF, United Kingdom. For privacy enquiries and rights requests, email info@golden-key.co.uk or write to our registered office.

Information we use

We use the name, email address, enquiry category and message you provide, together with your phone number and property postcode if supplied. Fields marked * help us understand and answer your enquiry. You can choose to call or email instead. Please do not submit identification documents, bank details or sensitive personal information.

When you send the online form, our server processes the information and passes the message to our enquiry mailbox. We do not keep a separate website enquiry database. If online sending is unavailable, the form offers to prepare a draft in your email app; in that mode, nothing is sent until you send it yourself. Your email provider also processes messages you send.

Why we use information

We use enquiries to respond to you, discuss requested services and arrange next steps. Where you ask us to take steps towards a contract with you, this processing is necessary for those steps. For general enquiries and enquiries made on behalf of someone else, our legitimate interest is to respond to people who contact our business and manage that correspondence. We do not use an enquiry to subscribe you to marketing.

We also process connection and request information to operate the website, diagnose faults and prevent abuse. Our legitimate interest is to keep the website and enquiry service reliable and secure. The form uses a pseudonymous IP-derived identifier and submission times for rate limiting; it does not store the message in that abuse-prevention record. This website does not make automated decisions about people or build visitor profiles.

Providers and location

OVHcloud provides our website hosting and enquiry mailbox. The website is hosted in France, an EEA country covered by UK adequacy regulations. OVHcloud processes technical logs and anonymous aggregate usage statistics as part of hosting. Information is available to the people handling your enquiry and to the service providers needed to operate the website and email. We may disclose information where a legal obligation requires it.

How long we keep information

Enquiries that do not lead to a client relationship are kept for six months after the last contact, then deleted. If an enquiry becomes a client relationship, relevant correspondence becomes part of that relationship’s records and its applicable retention arrangements. We may retain relevant records longer where needed for a specific legal obligation or an existing dispute.

Abuse-prevention identifiers count against a one-hour window; expired entries are removed when the next valid form request is processed. Hosting and delivery logs are retained under the provider’s operational retention arrangements, for service operation, security and troubleshooting. Provider backups may take their normal replacement cycle to expire after information is deleted from active systems.

Your rights

Depending on the circumstances, you can request access to your information, correction, deletion, restriction of use or a portable copy. Contact us using the details above so we can consider your request.

Your right to object: you can object to processing based on legitimate interests for reasons relating to your particular situation. We will consider the objection and stop that processing unless we have a compelling lawful reason to continue.

You can also complain to the Information Commissioner’s Office, the UK data protection regulator.
